Hello Killer Whales!

It’s time to get pumped up for Pasta Night and our first meet of the year: Our Red-White Intrasquad meet is Tuesday, June 4th. We’d love for all our swimmers to sit with their teammates as a chance to start to get to know everyone. Bring some games or simple crafts to do with your pod of team mates while you wait for your events to start as well as some spirit to cheer everyone on. Some that have worked well in the past are: easy board games, friendship bracelets, madlibs, cards, jacks, pipe cleaners, and loom bands.

There’s still time to sign up to be a BIG WHALE for the season. Information meeting is Monday, June 3, at 6:00pm. Let us know if your 11+ swimmer is interested in this program. If you've already signed up, you should have received a separate info email.

We need 2 Timers still for this meet (volunteer email).

If you are new to swim meets, PLEASE reach out and ask for help from those around you who look like they know what is happening. Our established parents, and Swim Board, are all happy to direct and answer questions as they arise..

How to Declare Your Swimmer (Deadline is Sunday Noon):

Make sure you complete all three steps below for EACH registered swimmer:

  1. Find the Meet on the Sign Up Calendar and click “Meet Entry”
  2. Declare attending or not attending Meet for EACH swimmer registered.
  3. Declare if you are or are not available to swim Relays* (default is available).

Note: For Red/White Only-NO swimmers will swim butterfly. All swimmers will swim all three strokes. We would like to swim the freestyle relay at the end IF it doesn't make the meet run late. The team will decide Monday June 3rd if relays can take place. We understand everyone is still in school. When you declare, Please leave a note if your swimmer needs to leave before the end of breaststroke and select "not available for the late relay" when you declare.  

*General relay note: Not everyone who selects 'available for Relays' will swim in them. The coaches will assign relays from the pool of swimmers available.

Declaring your swimmer Notes and After-deadline changes:

Declaring your swimmer means letting us know if you will or will not attend. Everyone should be declaring their swimmer for each meet. This is something we do every meet so make sure you know the routine and bookmark the contact instructions!

Please note: If you do not declare your swimmer as “available”, they will not be entered into any individual events and will be unable to swim. The data is merged with the visiting team and swimmers can’t be moved around. Your swimmer will not be able to swim.

Additionally: Don’t be a No-Show! If you declare your swimmer attending and available for relays (either on purpose or by accident), you should show up for your events.

However, we know emergencies happen despite the best planning. If something comes up and you must change your declaration past the deadline, please contact the respective person below as early as possible.

  • Prior to the meet: email the Coaches as soon as possible at [email protected]. If an emergency arises after 4pm the Tuesday of the meet, and your child will be missing all, or part, of the meet, email the coaches but ALSO, if you can, text a friend so they can also pass along the information for you to Coach Lauren once they arrive at the pool. After 4pm the coaches are en route to the pool so the more people who know, the better.
  • At the Meet: If you arrive at the meet and realize you are signed up for events you’ll miss (or an emergency happens and you have to leave early), please tell Coach Lauren right away (she’s the designated contact for this at meets). Don't be a no show for your event! Many tears have been shed by relay swimmers who are missing team mates and have to drop. 

6/6 Red/White Meet Details

Schedule:

  • Volunteers, check-in as you arrive, by 5:30pm
  • 5:30pm Warm Ups
  • 5:45pm: Meeting for timers & order of finish judges and in the baby pool area
  • 5:45pm: meeting for kid pushers (check for location when you arrive)
  • 5:55pm: Team cheer with all swimmers/line up
  • 6:00 pm Meet begins

Concessions: We arrange food trucks to come in for our home meet concessions. This week we’ve scheduled the below trucks from 5pm - 8pm. The SV Pool Concessions will also be offering their normal array of snacks and drinks.

Ty’s All Natural and The Soda Box

Spirit Wear will be sold at this meet. Pick up your tees, SV swim caps, sweatshirts, and so many other fun things to be ready to show off your KW pride at our following meets swimming against other teams. Get it now before things start to sell out.

Street Parking: this is allowed, however, please be courteous to our pool neighbors and avoid blocking anyone’s driveway, mailbox, greenway crosswalks, or park too close to the intersections.

What to bring: A wide-tip black Sharpie, your swimmer's goggles (and backup pair), swim caps, snacks, lots of beverages to stay hydrated in the hot sun, extra towels, folding chairs for you, sunscreen, warm clothes for chilly nights and a few small toys/activities to entertain your swimmer. The black Sharpie is used to write your swimmer's number on their arms.

Reminder: Swimsuits and Caps Swimmers are encouraged to wear this seasons swimsuit but previous team suits are also allowed. Any suit worn must be in the team colors of red, white, and/or black.

Black or SV swim caps are also encouraged. Swimmers of the week will receive a special white SV swim cap to wear.

Swimmer Times will be available on the Swimtopia app after each meet (see POST MEET email for specifics).

When you arrive: Heat Sheets

Upon arrival at the pool, check the posted line-up sheets to find out the events in which your swimmer(s) will be participating and their swim number. 

We try to publish the heat sheets to the Swimtopia mobile app on Tuesday if we can, but please make sure to recheck these at the meet in case there were last-minute changes.

Swimmer Numbers (found on the Heat Sheets)

In Black Sharpie, please write “SV” followed by your child’s swim number (“SV xx”) on BOTH of your swimmer's arms, large and neat. On the Heat Sheets, the swimmer number is the last several digits following name/age: Jones, Sally (age ) XXX

Please NO Roman Numerals or adornments around the numbers, such as smiley faces and curly Q's The timers need to be able to read these numbers easily. Make sure you use SV because other teams may use similar numbers. 

Volunteers: Check-In/Arrive early

All meet volunteers will receive an email Sunday regarding specific job start times and group meeting times. Please refer to your job signup schedule (under “my account” in swimtopia) for your assigned dates & jobs. Make sure you arrive in plenty of time to check in and fulfill your full obligation. If you cannot fulfill your obligation, contact Anne Hensley [email protected] as soon as possible.

Volunteer Job Openings: 2 Timers.

Kid Pushers Role, Note to Parents

All 10 and under swimmer age groups will be assigned Kid Pusher volunteers at each meet to help them line up at the correct time, in the correct order, and then escort the group to the Clerk of Course before their scheduled swim (look for your age-group sign!). The announcer will call swimmers to the deck when it's time to line up. Parents, please note it is NOT the Kid Pusher's job to go looking for your kids.  Please keep them close to the pool deck and pay attention to when it’s time to line up. Swimmers are encouraged to sit and hang near their age group flags instead of playing on the playground. This allows for faster and more efficient meets.

SVKW Family Liaison / TSA Rep Role:

If you have any concerns or issues that arise during the meet, please find the SVKW Family Liaison (also our TSA Rep) and discuss it with them.  Please refrain from bringing up issues directly with the coaches during the meet so they can focus on the team and swimmer safety.  This also applies to opposing teams at future meets. Any issues with another teams coaches, parents, volunteers, or swimmers should be brought to the SVKW TSA Rep. 

Withdrawing Your Swimmer

Registration fees are refundable through Monday, June 10th. 

Please email us at [email protected] if you need to withdraw your swimmer. Because the team has to absorb a number of fixed costs regardless of enrollment, no refunds will be honored after Monday 6/10.

  • 6/3 Pasta Pump-Up 5:30 pm - 7:30 pm (13+ come early and get pasta before practice starts! We’ll be cleaned up before your practice ends).
  • 6/3: Big Whale Meeting, 6:00 pm (you should have received a separate email about this earlier this week. let us know if you didn't)
  • 6/4 Red / White Meet, Warm-up starts at 5:30pm
