Day of Volunteer Instructions

INSTRUCTIONS for EVERYONE - HOME MEET is below. Away meet is linked here.

Please check in at the volunteer table as soon as you arrive. We need to know everyone is accounted for before the meet starts

  • Volunteer table is to the right of the front desk
  • Check-in when you arrive with the Volunteer Coordinator
  • check-in by 5:30pm
  • You will receive a name tag, lane assignments, and supplies
  • If you know you won’t arrive by 5:30 please email so we don’t mark you absent and can inform the Leads.

First Shift- after you attend your meeting, be in place by the national anthem 5:55pm. The meet will start immediately following the anthem.

Second Shift- report after 15-18 women’s backstroke. The announcer will give reminders during this time. Go to your position and switch out the first shift volunteer. First Half volunteers need to pass along any job specific information to your second half replacement. Timers need to trade out watches behind the blocks (before going to 6&U rope location).

Clerk of Course Assistant

  • Attend the 5:45pm Kid Pusher Meeting by the lifeguard stand in the diving well.
  • Please introduce yourself to Richard Nuss so he can give you instructions, you will be working with him and the Starters throughout the meet.
  • Pick up your heat sheet from the volunteer check-in table when you arrive.
  • Instructions are here, read before you arrive and talk with Richard when you arrive to review.
  • Pick up vest so you can move freely behind the blocks

Substitute

  • Confirm your job assignment in “my account”, you may have already been assigned a position. Check often as changes are made Monday and Tuesday.
  • Check-in with volunteer table when you arrive AND back at the table at 5:45pm for last minute assignments.

Hospitality

  • Deliver waters to all volunteers, coaches, and officials on both teams. 
  • You will begin water service during the medley relay (1st events) and offer at the beginning of each age group event.
  • Instructions are here, please read so you are a little familiar with what you'll be doing before you arrive.
  • Receive further instructions when you check-in.

Kid Pusher

  • Receive Kid Pusher sheets and sign at the volunteer check-in table.
  • Attend the KP meeting with Richard by the lifeguard stand in the diving well at 5:45pm
  • He will give you instructions and you’ll find the other KPs for your age group
    • use the link to read in advance
  • 7-8 KPs will go immediately from the meeting to line swimmers up for relays
  • You may leave when your age group is completely done (after breast for 6&U and after free relay for older).
  • Return signs to the tables

Meet Clean up

  • Chris Friend is the Lead for all home meets. He will give you instructions.
  • Report to the big white tent as the relays begin (unless your swimmer is in those relays, report after you watch them).
  • Some clean up starts before the meet is over so everyone can get home.

Meet Set up

  • Note your start time is 4:10pm. You should be ready to work at 4:10pm, please arrive by 4 to get parked and ready to start on time.
  • Do not park in the parking lot
  • Check-in with the Volunteer Coordinators and we will provide you the checklist and give you instructions.
  • Closed toed shoes are recommended for moving furniture.
  • Please be sure to confirm everything is completed before you find your seat with your family

Ribbon Handout

  • You will have a meeting with Lily at 5:45pm outside the baby pool.
  • She will give you supplies and instructions.
  • First Shift-begins with 6&U freestyle. Be in position during 15-18 relays.
  • Second Shift- report after 15-18 women’s backstroke. The announcer will give reminders during this time. Go to your lane and switch out the first shift volunteer.

Runner

  • Volunteer check-in table will have your bib & instructions page
  • Attend 5:45pm officials meeting outside the main gate so you know who you are collecting papers from.
  • Instructions are here, please read before your shift
  • Introduce yourself to the Meet Administrators, sitting at the table behind the starter. You will be bringing them all the papers.

Meet Administrator and Time Drop Shifts

  • Report to the table behind the starter
  • Have your computer and charging cord with you
  • Cheryl Boss will have instructions for you

Timer

  • Lane assignments will be given at the volunteer check-in
  • Timer Meeting is 5:45pm in the baby pool area.
  • First Shift-after you attend your meeting, be in place by the national anthem 5:55pm. The meet will start immediately following the anthem.
  • Second Shift- report after 15-18 women’s backstroke. You need to switch out before timers move to the 6&U pool location. The announcer will give reminders during this time.
