2023 Volunteers Needed

Our 2023 needs are below. Please consider taking on one of these positions. All fulfill your volunteer requirements for the season.

Awards Night Coordinator- Coordinate all aspects of the end of the season Awards Night. The event will be held July 25th for medals and ceremony at an indoor location. There is a checklist to follow, it includes ordering medals, pins and overall event coordination. There will also be an end of year pool “party” for swim families that you will help plan. You will be the main contact for volunteers to help set up and organize. Please confirm your availability for the dates and also the weeks prior for planning.

Cary City Meet Coordinator- Cary City Meet is a fun one day meet where all local summer swim teams dress up, have fun and compete against one another for all the glory!! As the coordinator you will receive the emails from the CCM Meet Director and attend an informational meeting prior to the meet. This is how we receive our team volunteer requirements, tent location, parking details etc. You’ll be the liaison to the parents and the coaches. Additional duties include organizing the theme and decorations for the tent. You will coordinate the sign up to help with setup/clean up and snacks for the meet and volunteer shifts. The tentative date is Saturday, July 15th (we will confirm this ASAP). You will need to be available for set up on July 14th as well as the day of the meet. In addition your planning and communication from the Director will begin 10-14. Please make sure you are in town leading up to the meet.

Clerk of Course Assistant- You will be stationed behind the block and confirm the upcoming heat is ready. Your focus is just the next heat. You will confirm empty lanes are expected per the heat sheet and make sure swimmers don’t get on the blocks too early. Note: this is for all 10&U events and heats only. Once the 11 year olds start the timers return to the start end of the pool and will take over confirming swimmers and control the blocks. For consistency, we are hoping to have 1 person commit to doing all the home meets.

Ribbon Coordinators- We have a head Ribbon Coordinator who will purchase the ribbons and coordinate with each team. We need two additional helpers for the season. Both positions will receive ribbons and blank labels at the beginning of the season. You will print labels at home, apply them to the appropriate ribbon and place them into our team folders. This role does require a working and reliable printer. Both jobs require a sense of urgency to get the ribbons into the boxes no later than Friday morning. Any later and they don’t have the impact given the next meet is Tuesday. Must be detail oriented.

  • Personal Best Ribbons- You will be responsible for personal best ribbons for each meet (both home and away). However, this is a 100% home volunteer role. You will receive personal best results by Wed and will need to have ribbons in the SVKW ribbon boxes by Friday morning practice.
  • Placement Ribbons - This position is for 3 meets. Activities are slightly different for home or away meets and details can be shared with those interested in the job. For home meets you will need to attend the meet until the 9 and 10 year old butterfly event is complete. For away meets, you do not need to attend the meet but will need to pick up the blank away ribbons from the other team (most likely at our snack shop) Wednesday morning.

Starter- We are extremely fortunate to have Corley & John Strunk as starters for so many years. We need to prepare for the graduation of their swimmer. Corley is USA Swimming certified to train if you are not already certified. Requires 4 total meets each summer.

Time Entry- Enter all the times for each swimmer into the swimming software during the meet. Attention to detail is important! You will be able to step away to watch your swimmer. Ideally, for consistency, we have 2-4 people to commit to covering all the meets. The application is web-based, you will need a computer that can access the internet. During the meet there will be two people from each time entering times. This job will become a sign-up position if we need to fill the second spot.

TSA Representative- 2nd person needed. Attend TSA meetings before the season starts and communicate updates to the swim team board. You also coordinate the meet planning with the opposing team (parking, warm up times) and are the on deck liaison at home and away meets. You’ll work 3 total meets and coordinate the meet schedule with Jenna. You will also need to attend SVKW board meetings to share TSA information. These meetings are scheduled ad hoc around the board members personal calendars.
