2026 Vacant Volunteer Positions

Cary City Meet Coordinator- Cary City Meet is a fun one day meet where all local summer swim teams dress up, have fun and compete against one another for all the glory!! As the coordinator you will receive the emails from the CCM Meet Director and attend an informational meeting prior to the meet. This is how we receive our team volunteer requirements, tent location, parking details etc. You’ll be the liaison to the parents and the coaches. Additional duties include organizing the theme and decorations for the tent. You will coordinate the sign up to help with setup/clean up and snacks for the meet and volunteer shifts. You will need to be available for set up the previous day as well as available the day of the meet to confirm volunteers arrive. Please make sure you are in town leading up to the meet as most of the communication with the CCM organizers begins approximately 2 weeks before the meet.

Clerk of Course Lead- 1 person, recruiting for future seasons - will need this in 2027.

End of Year Awards Celebration Coordinator -Coordinate all aspects of the end of the season Awards Night. The event will be held July 18th for medals and ceremony at an indoor location. There is a checklist to follow, but the main responsibilities include organizing decorations, setting up the slide show (put together by photographer) and setting up the space. The date/time has been confirmed with the venue already. You will have volunteers arrive one hour before the ceremony to help set up tables, awards, and decorations. Please confirm your availability for the event date and also the weeks prior for planning. - filled  

Meet Administrator- Manage the meet using the Meet Maestro application (hosted in swimptopia). This includes updating our swimmer changes at the beginning of the meet, DQs during the meet, and changes required if there are discrepancies between timing and the Order of Finish Official. All under guidance of TSA representatives and Coaches. Each team will provide a meet administrator and will only make changes to their own team members. Coaches will set up the relays and heats. Once they arrive they will not be able to make changes in the computer and will give you instructions. Coaches will handle all responsibilities regarding changes until 4pm. You will have an assistant working with you during the meet. In addition, if you are the meet administrator for the home meet, you will “close” the meet so that swimmer times and scoring can be finalized for ribbons and final score. This will likely be done the night of the meet in agreement with TSA representative and the visiting team meet administrator. On rare occasions, TSA representatives will ask you to wait until Wednesday morning. You will sit behind the starter with a second SVKW volunteer and watch your swimmer. You need to arrive at home meets at 4:30pm and away meets at 5pm to make any swimmer changes prior to warm ups. 

Meet Administrator Assistant- Work with the meet administrator during the meet as needed for on-deck changes due to swimmer attendance or changes in order of finish as determined by TSA rep. You need a computer with internet access and will be trained by the meet administrator. We need one assistant each meet. You will be trained and helped throughout the process and receive guidance and decisions from coaches and TSA representatives. You will be able to watch your swimmer from the side of the pool by the starter.

Merchandise - Sell SVKW merch at our home meets - 2 people

Photographer - Take and edit to size pictures at a minimum of TWO HOME meets that includes ALL age groups and a variety of swimmers. We’d like a variety of both action swim shots and on-deck pictures. Be sure to capture all age groups, including coaches. Once taken, edit and drop some pictures to the team google picture file during the season so we have a few to use for posts. Save the rest of the edited pictures to create an end of year slideshow. The slide show will also include pictures from parents who upload to a google drive. We will post all the slide show pictures to the team website after the awards night for families to enjoy. You will also take pictures of the senior swimmers for banners at the Pool and put together a slideshow to honor the seniors.  

Raffle Coordinator - Work with local businesses to get raffle items for the Awards program. Coordinate the sale of raffle tickets at each home meet at our merchandise table. Organize raffle prizes at the End of Season Awards Event.

Stroke & Turn Judge- Watch & Judge each main event only. Judging will be based on applicable stroke rules applied in a consistent and uniform manner to all age groups, except for defined deviations for 6-and-under swimmers. Each judge will, however, apply common sense in recognizing normal, involuntary deviations from perfection, and will declare as causes for disqualification only clear-cut infractions of which the judge is sure and will immediately indicate by a full raising of the arm and hand. Training certification required & provided by TSA 

Order of Finish Judge - Observes and records the finish for all main events only (1st heat of each event). You will watch the finish and record the 1-6th place, with special attention to 1st, 2nd and 3rd as those are the only scoring positions. This is used in case there is a discrepancy with the timers’ entries. 

Awards/Medals Coordinator- We will provide you a list of swimmers to order medals, pins and plaques for presentation at the awards celebration. We have worked with the same vendor for several years and he is familiar with our needs and timeframes. We also have some team members who have been responsible for these tasks in the recent past and they will help orient you to the tasks. All of the awards will need to be organized into age groups prior to the event and you will be responsible for setting up the awards table for the coaches so that they are able to present the awards to each age group in turn at the awards ceremony. Your final task will be to place any medals/pins in the family folders (at the pool) for swimmers who do not attend the awards night.

Ribbon Coordinator- Purchase the ribbons and coordinate the writing and delivery with each team. Attend each home meet and give instructions to the ribbon handout volunteers for each meet. Will coordinate the SVKW ribbon helpers and ensure all meets are covered with placement ribbons and personal best ribbon coordinators. 

Ribbon Placement & Personal Best- Work with the Ribbon coordinator to label personal best and placement ribbons for SVKW swimmers and file them into the family ribbon folders by Thursday evening. The ribbon coordinator will meet with you at the beginning of the season to determine which meets you are responsible for, give you the ribbons, and labels. After a meet, you will be emailed a PDF of the labels Wed morning and will need to print the labels, sticker them to the appropriate ribbon and place the ribbon into the family folders by the end of Thursday. You will only be responsible for labeling SVKW ribbons and for only 3 of the 6 meets. This role does require someone who has access to a reliable printer and someone who has a sense of urgency to get the ribbons into the family folders no later than Thursday evening. Any later and they don’t have the impact given the next meet is Tuesday. This role does require someone who is detail oriented.

Senior Awards - Coordinate all activities around honoring our seniors. This includes coordinating the photos, ordering and wrapping gifts, working with the parents to obtain photos for a slideshow. 

Time Drop Administrator- Our new timing system. Learn the time drop system and using the tablet control the timing system for every heat of the meet. With each heat, make sure the timing system starts and is on the correct event/heat. Watch the individual times come in and monitor for problems. 2 SVKW volunteers will operate the system at all home meets only.  


Treasurer- You will manage the team budget and issue payments to suppliers. Our past Treasurer will be happy to help you get set up for the coming season.

TSA Representative- 2 people.

Social Chair - The social chair is responsible for coordination of 3-4 different events throughout the summer swim season including the Welcome Back event. This team also coordinates the Big/Little Whale program which is aimed at promoting the Killer Whale Pod teamwork and spirit during the swim meets. In addition, we will work with the pool to host a pasta night and ice cream social which will include all pool and swim team members. 

Starter- We are extremely fortunate to have had Corley & John Strunk as starters for so many years. We need to prepare for the graduation of their swimmer. Corley is USA Swimming certified to train if you are not already certified. Home meets only.

Volunteer Coordinators  - You will coordinate volunteer jobs for all meets and social events.  You will send an email the week of to all volunteers and make any adjustments to shifts. The day of the meet, print name tags, sign in sheets and kid pusher sheets to take to the pool. You'll need to arrive in time to check in volunteers and confirm all volunteers are present.
