Happy Weekend, Killer Whales!
You've started this season off with a splash and have logged some great practice sessions! We can't wait to see you at our Red-White Meet this Tuesday, June 2.
Some key things to take note of as we dip our toes into the 2026 summer swim season!- Big Whales, make sure you've read the email from our coordinator, Sarah Hunter, and connect with your Little Whale before the Meet (Hint: there might be prizes involved!).
- Parents: double-check your volunteer shift sign-up, watch for instruction emails, and make sure you can fulfill the entire shift obligation you've signed up for.
- We log start-of-the-season swim times at this meet. If you cannot attend, please email the coaches to arrange a time to make up your times during practice.
Hollywood Tacos and Romeo's Pizza, a team favorite, will be on-site Tuesday evening and they are accepting pre-orders (flyers below).

How to Declare Your Swimmer
Declaring your swimmer means letting us know if you will or will not attend each meet and which relays you'll be swimming. If you do not declare your swimmer as “available”, they will not be entered into any individual events. If you miss the Sunday Noon deadline, there is no guarantee that your swimmer will be able to swim that particular meet. The Meet Admin team will determine if a late add is possible. A lot of work goes into merging teams and it isn't always possible to make changes past the deadline.(click here for detailed step-by-step instructions).
In general, make sure you complete both steps below to declare EACH registered swimmer:
- Find the Meet on the Sign Up Calendar and click “Meet Entry”
- Declare attending or not attending for EACH swimmer registered.
- Declare if your swimmers are or are not available to swim Relays (the default is available, so make sure you change this if needed).
Emergencies after the Swimmer Declaration Deadline:
If an emergency arises, due to sickness or injury, after the meet declaration deadline, it is very important that you communicate changes and avoid being a no-show. No-show volunteers and swimmers really throw things into a whirlpool and, in the event of relays, leave your teammates stranded. Please communicate all emergency changes to your plans both before, and during, the meeting.
- After the Sunday noon deadline but before 3 pm Tuesdays: if your swimmer will be missing all, or part of a meet please inform the coaches of the change as soon as possible by emailing them at: [email protected].
- After 3:00 pm Tuesday (or at the meet): If you cannot attend at all, please email the coaches AND text a friend to let them know. Coaches may/may not get emails after 3 pm on Tuesdays once they are en route to the pool, so the more people who know, the better. During the meet, please inform the coaches if you need to leave early so they can adjust the heat sheets.
- Volunteer Coordination Team: If any of the above occurs and you are also serving, please email/text our volunteer team (prior to 3pm Tuesday), or speak to them in person at the meet. They can assist you in stepping out of your duties. It is crucial to our Meet that you show up for the entire duration of your volunteer spot.
6/2 Red/White Meet Schedule+Info
WarmUp + Volunteer Meet Schedule:
- Volunteers, arrive at 5:00 pm and check in as you arrive, by 5:25 pm at the latest.
- 5:25 pm: SVKW team warm-up
- 5:45 pm: Volunteer Meeting for Timers and Recorders, at the baby pool
- 5:45 pm: Meet Officials Meeting (TSA Reps, Stroke and Turn, Starters, OOF), outside the main pool entry gates
- Meet begins at 6:00 pm
Volunteer Notes: All meet volunteers will receive an email prior to the meet with specific job start times and group meeting times. Please refer to your job signup schedule (under “my account” in swimtopia) for your assigned dates & jobs. Make sure you arrive in plenty of time to check in and fulfill your entire obligation. If you cannot fulfill your obligation, contact our volunteer team at [email protected] as soon as possible.
Spirit Wear: Pick up your tees, SV swim caps, sweatshirts, and many other fun things to be ready to show off your KW pride at our following dual meets. We also have Vintage SVKW on clearance. Look for our new Venmo code at checkout!
Parking: Our parking lot is available to use for our Red-White Meet. Once full, street parking is allowed; however, please be courteous to our pool neighbors and avoid blocking anyone’s driveway, mailbox, greenway crosswalks, or intersections.
What to bring: Plenty of dry towels, a wide tip black Sharpie for marking swimmer numbers on arms (name brand stays on the best), goggles, back-up goggles, swim caps, snacks, lots of beverages to stay hydrated, folding chairs, sunscreen, warm clothes for chilly nights and a few small toys/activities to entertain your swimmer
Swimmer Numbers: In Black Sharpie (name brand stays on the best), please write “SV” followed by your child’s swim number (“SV xx”) on BOTH of your swimmers' arms, large and neat. Swimmer numbers can be found on the Heat Sheets; it is the last several digits after their age:
Jones, Sally (age) XXX
Reminder: No Roman Numerals or adornments around the numbers, such as smiley faces and curly Q's The timers need to be able to read these numbers easily. Make sure you use SV because other teams may use similar numbers.
When you arrive: Double-check the Printed Heat Sheets
The Coaches print and post the most up-to-date Heat Sheets on the diving board. Make sure to double-check these when you arrive to know what events you are swimming, including Relays. Big Whales can check their Little Whale events as well. We try to publish the heat sheets to the Swimtopia mobile app on Tuesday if we can, but please make sure to recheck these at the meet in case there were last-minute changes.
Swimsuits and Caps Swimmers are encouraged to wear this season's swimsuit but previous team suits are also allowed. Any swimsuit (or swimcap) worn must be a racerback in the team colors of red and/or black and cannot be a tech-suit such as Speedo Aquablade, Arena Powerskins, TYR Aerofit, or kneeskins.
Meets are Alcohol free events. TSA rules prohibit alcohol at events. Occasionally, host pools perform cooler checks, and our team will be disqualified if it's found on-site.
Kid-Pusher Note to Parents: All 10 and under swimmer age groups will be assigned Kid Pusher volunteers at each meet to help them line up at the correct time and in the correct order, and then escort the group to the Clerk of Course prior to their scheduled swim (look for your age-group sign!). The announcer will call swimmers to the deck when its time to line up. Parents, please remeber that it is NOT the Kid Pushers job to go looking for your kids. Please keep them close to the pool deck and paying attention to when it’s time to line up.

Withdrawing Your Swimmer
We understand that sometimes life changes. Registration fees are refundable through 6/6 Please email us at [email protected] if you need to withdraw your swimmer. Because the team has to absorb a number of fixed costs regardless of enrollment, no refunds will be honored after this date
